Welcome to the first step of your integration setup: the Demographic Audit. You're close to going Live β where new hires, terminations, compensation changes, and more will flow in real-time.
This guide walks you through three simple steps:
- Import your employee data for comparison
- Fix any missing or inconsistent demographics
- Notify your EN Payroll Analyst to review your work so you can go Live
How the Demographic Audit works
Our Demographic Audit pulls together all your payroll data so you can reconcile employee differences between Employee Navigator and your payroll system. Once you've synced each employee and both sides have a perfect match, you're able to go Live for Demographics β and from then on, every change between the two systems flows in real-time, automating your day.
The audit splits employees into 4 buckets so you only see what truly needs attention.
Here's an example of what you'll see (after you've imported your demographic data) when you open the audit from your Payroll tab β Continue Setup β Demographic Audit β View Audit :
What each section means & what to do:
- Employee is in Payroll but not in EN
- Bulk-create the active ones with one click
- Ignore the Terminated column entirely
- Employee is in EN but not in Payroll
- Typically, these are folks receiving benefits but not getting a paycheck, such as grandfathered-in retirees
- Most often, this number will be zero
- Employee is in both systems β but some demographic fields don't match
- Pick the correct value, click Sync, and move to the next employee
- Locked π fields are owned by Payroll (one-way) where payroll is the system of record
- Already matching across both systems
- View-only β nothing for you to do here
Who's your payroll partner?
Pick your partner so we can tailor the demo to your import method. The two methods look identical inside the audit β but you'll start them differently.
Pull a Demographic Report from your payroll system, then import the file into Employee Navigator. The flow is the same after β scroll down to launch the demo β
Walk through your audit β start to finish
Click into each section, resolve real discrepancies, and watch your data flow between Employee Navigator and your payroll partner in real-time. Every button works.
FAQs
QWhy are some fields, like Compensation, locked? βΊ
Locked fields reflect fields that payroll is the system of record for. Compensation lives in payroll, so you can only select the payroll value. To change a locked value, fix it in payroll and import a new demographic report into EN.
QThe payroll Base Salary is lower than my EN value. Will syncing overwrite it? βΊ
No. When the payroll value is lower, EN auto-pushes the higher EN value into the Annual Benefit Salary field so it continues to drive salary-based benefit calculations.
If the employee gets a future raise that should drive benefits, manually clear Annual Benefit Salary β EN will then default to the new payroll Base Salary.
QWhat about commission-only employees or Salary + additional earnings? βΊ
Use the Annual Benefit Salary field on the employee's Compensation tab. Use it for:
- Commission-based employees with $0 salaries in payroll
- K1 records or any employee whose payroll Annual Salary doesn't reflect the total used to drive benefits (e.g., Salary = $250,000, but benefit calc should use $300,000)
QMulti-EIN companies β anything different? βΊ
Pull and finish one Demographic Audit at a time before moving on to the next Subscriber Group. Best practice is one-at-a-time, fully completed.
